Effective October 6, 2026
Agreement and eligibility
These Terms of Use are between you and FieldSeen LLC, based in Oklahoma City, Oklahoma (“FieldSeen,” “we,” “us,” or “our”), and govern the FieldSeen mobile application, web application, website, and related property-inspection services (the “Service”). FieldSeen serves customers in the United States. By creating an account or using the Service, you agree to these terms. The Privacy Policy explains how information is handled. If you do not agree, do not use the Service.
You must be legally able to enter this agreement. If you act for a company or other organization, you represent that you are authorized to accept these terms for it and submit its records. Invited participants and report recipients must use access only for its intended authorized purpose.
Account security
Provide accurate account information, keep credentials private, and notify support@fieldseen.com promptly of suspected unauthorized use. Use only accounts and records you are authorized to access. Email confirmation, recovery, Google sign-in, and Sign in with Apple depend on the relevant provider and configured return links; do not forward authentication links or share an account to bypass role restrictions.
Account deletion and company ownership transfer require a supported fresh identity-verification step. Accounts that sign in with Google complete this step by signing in with Google again. Accounts linked to Sign in with Apple complete it by signing in with Apple again, and deleting such an account also ends Sign in with Apple for FieldSeen. You can reset a forgotten password through an emailed recovery link; changing a password from within a signed-in session is currently unavailable. Contact support@fieldseen.com if you cannot complete an access or deletion request; do not send your password or verification code by email. Neither an email request nor a local confirmation screen establishes that a server action has completed.
Permission to use the Service
Subject to these terms and your authorized access, FieldSeen LLC permits you to use the Service for property-inspection and related business purposes. FieldSeen LLC and its licensors retain their rights in the software, service design, and branding. You retain the rights in your submitted content described below. These terms do not transfer ownership of either party’s intellectual property.
If you obtain the app through Apple’s App Store or Google Play, the applicable Apple or Google distribution terms and applicable app license also govern that distribution and license. These Service terms do not replace any non-waivable Apple, Google, or consumer rights.
Your content and permissions
You or the relevant rights holder retain rights in submitted content; these terms do not decide ownership disputes between staff, property owners, tenants, or companies. You grant FieldSeen permission to host, copy, process, resize, format, generate reports from, display, and transmit content as needed to provide and protect the service and carry out authorized sharing. This permission includes processing by service providers and continues for records legitimately retained as described in the Privacy Policy.
You are responsible for the authority, notices, consents, and other permissions needed to enter a property, photograph it, collect owner/tenant information, submit evidence, and share reports. Avoid unnecessary images of people, private belongings, documents, or sensitive information. Do not misrepresent identity, property ownership, occupancy, inspection dates, or evidence. Review the content and recipient address before sending; an address in FieldSeen is not proof of ownership or a verified inbox.
Recipients must protect confidential reports and invitation links and use them only as authorized. Tenant links permit access to one inspection and are not a verified identity service. Anyone with a valid tenant or report bearer link may use its access. Do not publish or forward those links beyond authorized recipients.
Do not submit payment-card details, passwords, government identification numbers, or unnecessary sensitive personal information. Do not use FieldSeen to make automated tenant-screening, eligibility, or housing decisions. The current Service does not supply AI analysis, facial recognition, identity verification of signers, or a verified chain-of-custody service. A tenant’s completion through an invitation, or a tenant’s signature, does not establish consent to a deduction, agreement with a landlord’s assessment, or waiver of tenancy or privacy rights.
Report suspected unlawful content, unauthorized disclosure, or misuse to support@fieldseen.com with enough context to locate the issue, without forwarding confidential access links or unnecessary personal records. We may review and restrict affected access or content when appropriate, subject to applicable law and preservation obligations. An immutable report in the ordinary interface does not override a legally required response to a valid request.
Inspection responsibility and limitations
FieldSeen organizes user observations. It does not inspect a property, independently verify completeness or truth, certify code compliance, detect every defect, provide legal/safety advice, determine responsibility for damage, or guarantee evidentiary acceptance. Required-field checks and timestamps do not establish that a physical inspection occurred at a particular time or that an observation is accurate. Follow applicable inspection, entry, notice, safety, and professional requirements and obtain specialist advice where needed.
Completed inspection records and saved PDF versions preserve recorded evidence. Photo derivatives are resized and have source metadata removed, so they are not original forensic files. A checklist is your own list of rooms and items; the ready-made “Common rooms” starting point is a convenience, and completing a checklist does not establish that an inspection covered everything a lease or law requires. Room reuse carries names/order into a fresh inspection; it does not confirm that earlier condition remains. Comparisons use available completed records and suggested or manually selected area matches. Equal condition labels do not prove no physical change. Review missing evidence, area matches, attribution, and the final report before relying on it.
Articles, checklists, templates, and downloadable kits published at fieldseen.app are general information, not legal advice, and may not reflect the rules where a property is located.
Signatures and acknowledgment
Signing is optional. An inspector can sign an inspection, and a tenant can sign on the inspector’s device, at the end of a tenant-completed inspection, or through an emailed signing link. A signature in FieldSeen is a typed name and a drawn signature that are recorded with the inspection and printed in its report. A tenant’s signature records the acknowledgment statement shown when they signed: that they reviewed the report and received it. It does not record agreement with any item, the tenant can add a comment, and a tenant may decline to sign.
FieldSeen does not verify who a signer is. Anyone holding a signing link can sign or decline once through it, and a typed name is whatever the person entered. FieldSeen is not a certified or third-party electronic-signature service, and we do not promise that a signature, an acknowledgment, or a recorded reason for no signature will have any particular legal effect or be accepted in a dispute, by a court, or by an agency. Whether a signature or notice satisfies a lease or a law that applies to you is your responsibility.
If you sign, or ask a tenant to sign, you agree that the signature is collected, stored, and delivered electronically. Send a signing request only to the correct tenant email address. You are responsible for the accuracy of any reason or note you record when a tenant does not sign; it is printed in a report the tenant may receive. After an inspection is completed, signatures and recorded reasons cannot be edited or removed. A tenant who signs is emailed a link to the signed report, and a tenant recorded as declining or unreachable may be emailed a copy of the report.
Offline work and synchronization
An inspection must be prepared online before supported offline work. Local Save or Finish can leave pending uploads and operations; completion is authoritative only after server acknowledgment. Accountless tenant work also depends on a valid invitation and prepared session. Connectivity, available storage, expired drafts, permission changes, or another device's checkout can delay or prevent synchronization.
Signout preserves unsynchronized evidence on that device. Do not clear browser/app data, uninstall, or treat a device as safely reusable until you have checked synchronization and cleanup. A local draft is not a cloud backup. Drafts expire after 30 days; offline copies can remain longer. Keep required records using supported exports and your own retention process.
Reports, exports, and availability
Report generation, retrieval, comparison, and native PDF download require a connection and available third-party services. Generation and email may queue or fail. A sent status records provider acceptance, not inbox delivery or recipient review. Owner report links expire seven days after the recorded successful send; authorized renewal may be available. Short-lived PDF download URLs last 60 seconds. Tenant signing links expire 14 days after they were last sent, and a link to a signed report or report copy emailed to a tenant expires seven days after the recorded successful send. Company invitations expire after seven days and tenant inspection links after 14 days, with earlier loss of access in the circumstances described in the Privacy Policy.
Downloaded reports, saved files, and delivered emails are outside FieldSeen's ability to recall. Later edits, access changes, or deletion do not alter copies held by recipients. Archiving does not delete evidence. Export records you need while access and reports are available; FieldSeen is not your emergency service or sole statutory recordkeeping system.
Acceptable use
Do not use FieldSeen unlawfully, infringe another person's rights, upload malicious or deceptive material, harass people, send unwanted invitations, falsify inspection evidence, seek unauthorized access, evade limits, or disrupt the service. Security testing requires authorization. Do not resell or reverse engineer the service except where applicable law permits it. Report suspected security problems to support@fieldseen.com without including credentials or unnecessary private records.
Third parties and service changes
FieldSeen depends on hosting, authentication, storage, mapping, email, device/operating-system, and distribution providers. Their availability, permissions, limits, and applicable terms affect features. We do not promise uninterrupted or error-free operation, successful delivery, recovery of every unsynchronized draft, or perpetual access to a particular feature.
Features may be changed, limited, suspended, or discontinued. We will provide notice of material terms changes and seek consent where required by applicable law. A complimentary access grant or a displayed access status is not an authorization to charge you. You are charged only after you subscribe to a paid plan as described in “Plans, billing, and cancellation.”
Plans, billing, and cancellation
FieldSeen offers a Free plan with usage limits and a paid Professional plan. The current price, how it is calculated, and the included limits are shown at fieldseen.app and on the Stripe checkout page before you subscribe. Only the workspace owner can subscribe, manage payment details, or cancel. Workspaces above the self-service unit limit must contact support@fieldseen.com for a quote.
Complimentary Professional access, including the free months offered through the founding customer program, is not a subscription, does not require a payment method, and does not renew or convert into a paid plan on its own. We email a reminder before it ends. When it ends, nothing is charged unless the workspace owner chooses to subscribe.
Professional is billed monthly, in advance, in US dollars through Stripe. The monthly fee is based on the number of active units in the workspace and includes a monthly minimum. Applicable sales tax is calculated from your billing address and added to the fee. When active units change during a billing period, the resulting difference is calculated and added to, or credited against, a later invoice. Credits apply only to future FieldSeen charges and are not paid out in cash.
Your subscription renews automatically each month, and the payment method on file is charged for each renewal until you cancel. By subscribing, you authorize FieldSeen, through Stripe, to charge that payment method for the subscription fee, applicable taxes, and the adjustments described in these terms. We will give you advance notice before changing the price of an existing subscription.
You can cancel at any time from Manage billing in FieldSeen. Cancellation takes effect at the end of the current paid billing period: Professional access continues until then and the subscription does not renew. When that final period closes, any unbilled adjustment for units added during it is charged in a final invoice, and any remaining credit is forfeited.
If a renewal payment fails, Stripe retries the charge and may email you to update your payment method. Professional access continues for a grace period of seven days from the failed renewal. If payment is not recovered, the subscription may be canceled and Professional access ends.
Except where required by applicable law, fees already paid are non-refundable, including for partial billing periods, unused units, downgrades, or periods in which you did not use the Service. If more than one subscription is accidentally started for the same workspace, we keep the earliest one and cancel and fully refund the others. If you believe you were otherwise charged in error, contact support@fieldseen.com.
Deleting your account cancels any subscription for your personal workspace and for companies in which you are the only member immediately, without a refund of fees already paid and without a final charge for the partial period; unpaid invoices are voided. A company that has other members keeps its subscription until its owner cancels it.
Suspension, termination, and deletion
We may restrict or suspend access when reasonably necessary to address misuse, a security risk, a legal requirement, or harm to people or the service. Where practicable and lawful, we will explain the restriction and how to contact support. Urgent action may occur without advance notice. You may stop using FieldSeen or request account deletion through a supported in-app verification flow or contact support@fieldseen.com when that flow is unavailable. Applicable privacy requests do not require continued use of the Service.
Account deletion removes personal-workspace data and a sole-member company; an owner with teammates must transfer ownership first. Shared company records and historical attribution remain with the company when an individual's account is deleted. File and device cleanup may be asynchronous or require retries. Provider logs/backups, replay-prevention records, and exported or delivered copies have separate lifecycles. The Privacy Policy explains these limits. Deletion is not a promise to erase another party's authorized records.
Disclaimers
To the fullest extent permitted by law, FieldSeen is provided “as is” and “as available.” We disclaim implied warranties of merchantability, fitness for a particular purpose, title, and non-infringement. We do not warrant that records will be legally sufficient, that every defect or condition will be captured, or that delivered emails will reach or be retained by their intended recipients. Some jurisdictions do not allow certain disclaimers, so portions of this section may not apply to you.
Limits of liability
To the fullest extent permitted by law, FieldSeen will not be liable for indirect, incidental, special, consequential, exemplary, or punitive damages, or for lost profits, revenue, data, business opportunity, or goodwill arising from the Service. Any direct liability will be limited to the amount you paid FieldSeen for the Service during the 12 months before the event giving rise to the claim. These limits do not apply where applicable law does not permit them.
